In an effort to regulate the number of wedding parties using the Victoria University campus at any given time, the University has adopted a policy which will permit, but limit, the use by the general public of exterior sites on the Victoria University campus as wedding photo session locations.
Victoria University Conference Services administers the policy and books site location reservations upon receipt of written requests. Permission will be given to such requests on a first come, first served basis. Permission will be given for the use of a specific site on a specific weekend or statutory holiday, at a specific time, for a one-hour duration.
At present, there are six sites that may be booked for wedding photos:
- Burwash Arch
- St. Mary's Arch
- The Peace Garden
- Victoria College South & East Stairs
- Victoria College Quad
- Emmanuel College Quad
Policies & Procedures
Permission will only be given to written requests for a single, specific one-hour period, at a specific site, on a specific date. Requests must be received a minimum of two weeks in advance.Permission will be given only for weekends and statutory holidays on a first-come, first-served basis. Permissions will normally be restricted to one photo session per site, per one hour time slot beginning on the hour. No permissions will be given for days on which scheduled University or other activities may be disrupted by wedding photo sessions.
The University reserves the right to cancel an already booked wedding photo session if it is perceived to be in conflict with an organized University or other event, providing that reasonable notice can be given to the wedding parties involved. In such cases, if no satisfactory alternative time, site or date can be arranged, location fees will be returned.
A non-refundable location fee, at a rate to be determined from time to time, will be charged for each session. Victoria University staff, students and alumni (bride and/or groom) will be eligible for a 20% discount on the location fee.
University parking charges and regulations will apply.
Victoria University Conference Services will manage requests, make site bookings, provide letters of permission, provide advice concerning regulations, restrictions, site locations, etc., and collect location fees.
Victoria University Security will request proof of permission from photographers, as appropriate. Security will record the name and, as applicable, studio of any photographer who fails to produce a valid letter of permission. Advice of the requirement will be given to first-time offenders and a warning that future infractions will result in the issuance of a notice of trespass. Security will supply Conference Services with the names of such photographers.
Victoria University will shortly be posting signs at the campus's main access points, advising of the requirement to obtain permission to use University grounds as wedding photo location sites.
